How we handle your data
In short: we collect only what we need to reply to you and to deliver work for our clients. We don't sell your data, we only use analytics cookies if you accept them, and we don't add you to marketing lists without your consent.
Who we are
This website is run by Infinity Matrix Ltd, registered in England and Wales, company number 13749748. Our registered office is 46 Magnolia Road, Seacroft, Leeds, England, LS14 6WR.
We are the data controller for the personal data described in this policy. For anything about your data, email hey@infinitymatrix.co.uk.
What we collect and why
| What | Why we use it | Lawful basis |
|---|---|---|
| Briefing request form: your name, work email, company, role, company size, the process you're interested in, optional phone number and message | To reply to your request and arrange a briefing | Legitimate interests (responding to your enquiry), and steps you ask us to take before a contract |
| Emails, calls and meeting notes when you contact us | To answer you and keep a record of our conversation | Legitimate interests |
| Client contact details and contract, billing and payment records | To deliver and invoice our services | Contract, and legal obligation (tax and accounting records) |
| Basic technical data, such as your IP address, recorded by our hosting provider | To run the website securely and prevent abuse | Legitimate interests |
| How you use the website: pages and sections viewed, buttons clicked, time on page, device type and how you arrived (for example a LinkedIn link) | To understand which parts of the site are useful and improve it | Consent, given through the cookie banner |
We only use your details for the purpose you gave them. If you'd like to hear from us in future, we'll ask you first.
Data we handle for our clients
When we automate a process for a client, we may handle personal data held in that client's systems, such as supplier or customer details. In that work the client is the data controller and we act as their processor, under a written data processing agreement signed before we access any data. That agreement, not this policy, governs that data.
Who we share it with
We use a small number of trusted service providers to run this website and our business:
- Google (Firebase and Google Cloud): website hosting, the database that stores briefing requests, and the server code that processes the form.
- Resend: sending the confirmation email you receive after submitting the form.
- Google Analytics (through Firebase): measuring how the website is used, only if you accept analytics cookies.
- Google Fonts: the fonts on this website load from Google's servers, which receive your IP address in the process.
- Our accountant and professional advisers, where needed for legal and tax purposes.
Each provider only processes data on our instructions. We never sell personal data.
International transfers
Some of these providers may process data outside the UK, including in the United States. Where that happens we rely on recognised safeguards, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses.
How long we keep it
- Briefing requests and enquiries: up to 24 months after our last contact, unless you become a client.
- Client records: for the length of our relationship, then six years for legal, tax and accounting purposes.
After that, we delete the data or anonymise it.
Cookies
We use one type of optional cookie: analytics cookies from Google Analytics, through Firebase. They're only set if you click "Accept analytics" in the cookie banner. If you reject them, or ignore the banner, none are set.
| Cookie | Purpose | Lasts |
|---|---|---|
| _ga | Tells visits apart so we can count visitors | Up to 2 years |
| _ga_<ID> | Keeps track of the current visit | Up to 2 years |
We also store your choice in your browser so we don't ask again. We don't use advertising or social media tracking cookies.
You can change your mind at any time:
